English - Upper-Intermediate
Ensure uninterrupted operation of HES offices: incoming/outgoing mail exchange, provision for proper work of fax/copiers/printers; maintenance/electrical requests, other repair requests, etc.
Provide logistics support: stationery/paper supplies, function orders, Personal Protective Equipment, etc.
Coordinate permission matrix, serve as a liaison between HES employees and IT Help Desk and Telecom (CAI, shared/group emails, Web asset management control of LP computers, phones, White Pages update, et c.),
Coordinate housing/transportation requests; visitors’ and new comers’ logistics support.
HR Related issues: timesheets, vacations, prikazes, SEAs, etc.
Act as a material coordinator for HES: enter Purchasing Requisitions/Sales Orders (Ariba and Е1), track them to completion, file related documentation; coordinate ordering/distribution of other stuff – calendars, subscriptions, gifts, etc.
Provide logistics support for the trainings done by HES specialists: make copies of handouts, arrange for a class/required equipment, print certificates.
Complete other assignments (file system management, invoice registering and tracking, etc.).
Good knowledge of computer programs: Excel, Word, Power Point, E1, Ariba
Language skills: Kazakh (optional), English, Russian
Prior experience in admin assistant position in Environment.
Ability to compile working hours timesheets in a JDE an electronic time input programme.
Good planning and organizational skills, initiative, effective work in a team
